Summary of Position:

Under the supervision of the Superior Officer, responsible for maintaining the custody of official police documents pertaining to the entry, storing, retrieving, and disposing of data and records.

Duties and Responsibilities:

  • Enter, store and retrieve all data collected, or kept by the police department, ensuring a continuous chain of custody.
  • Maintain all data records related to police-related business.
  • Maintain knowledge of the law and policies regarding the management of data records.
  • Manage the ordering, storing, and furnishing of supplies.
  • Attend training on proper storage and documentation (chain of custody) of data records.
  • Retrieves and replaces department reports that police officers request; enters data into the department system.
  • Makes copies of surveillance videos and photographs as required.
  • Working knowledge of department policy and procedures regarding public records and practices.
  • Performs skilled clerical, bookkeeping, and record-keeping work of ordinary difficulty in maintaining and processing financial records, account transactions, and other related work as required.
  • Based on operational needs, fill in for other clerks as needed.

Knowledge. Skills, and Abilities:

  • Ability to interact effectively and appropriately with members of the department.
  • Ability to perform multiple tasks in a detailed and accurate manner.
  • Proficient oral and written communication skills.
  • Proficient use of office soft ware, including word processing, spreadsheets applications, and police records management.
  • Proficient organizational and interpersonal skills.
  • Other related duties assigned.

Education and Experience:

  • A High School Diploma or equivalent and one {1) year of work experience in a related field or equivalent combination of education, training, and experience provides the required knowledge, skills, and abilities to perform the job’s essential functions.
  • Successful completion of a criminal background investigation.
  • Successful completion of a pre-employment drug test.

Working Conditions:

Physical Skills: Minimal physical demands are required to perform most of the work. The work principally involves sitting, with intermittent periods of stooping, walking, and standing. May be required to lift objects such as files, boxes of papers, office supplies, and office equipment weighing up to 30 pounds.

Motor Skills: Duties are primarily mental rather than physical, but the job may occasionally require minimal motor skills for activities such as moving objects, and using office equipment, including but not limited to telephones, personal computers, handheld technology, and other office equipment.

Visual Skills: Visual demands require routinely reading documents for general understanding and analytical purposes.
